Damage, Loss, Soiling & Compensation Policy.
At GiriSadan Boutique Hotel and GiriSadan Boutique Farmstay, we take great pride in maintaining our rooms, furnishings, gardens, swimming pool, heritage décor, and amenities to the highest standards for every guest. We kindly request all guests to treat the property with the same care and respect as they would their own home.
Any loss, damage, excessive soiling, misuse, vandalism, or removal of hotel property beyond normal wear and tear shall be the financial responsibility of the registered guest.
Refundable Security Deposit
To safeguard hotel property, the hotel reserves the right to require a refundable security deposit from any guest, at its sole discretion, prior to or at the time of check-in.
The security deposit may be collected in cash, UPI, bank transfer, debit card, credit card, or any other payment method approved by the hotel.
Please Note: The security deposit is completely separate from your room tariff, accommodation charges, taxes, or any other booking charges. It is not an advance payment towards your room rent. Subject to a satisfactory room inspection and settlement of all outstanding dues, the security deposit shall be refunded at the time of check-out or within a reasonable processing period.
The hotel reserves the right to determine the amount of the security deposit based on factors including, but not limited to:
- Duration of stay
- Number of occupants
- Room category
- Booking value
- Special occasions or events
- Long-stay bookings
- Group bookings
- Any other circumstances deemed appropriate by the management
Normal Wear & Tear
Guests will not be charged for reasonable wear and tear resulting from normal use of the room and its amenities.
Compensation shall apply only where damage, loss, excessive soiling, negligence, misuse, vandalism, or deliberate acts require repair, replacement, specialist cleaning, restoration, or result in the room or facilities being taken out of service.
Guest Responsibility
The registered guest shall be fully responsible for any damage, loss, theft, excessive soiling, or misuse caused by themselves, their children, visitors, invitees, pets (where permitted), or any person accompanying them during their stay.
This includes, but is not limited to:
- Furniture
- Mattresses
- Bed bases
- Curtains
- Upholstery
- Carpets
- Rugs
- Flooring
- Doors
- Windows
- Glass panels
- Mirrors
- Artwork
- Decorative items
- Heritage décor
- Air-conditioners
- Ceiling fans
- Lighting fixtures
- Locks
- Keys
- Electronic safes
- Bathroom fittings
- Wash basins
- Shower fittings
- Toilet fixtures
- Garden furniture
- Landscaping
- Swimming pool equipment
- Electrical fittings
- Plumbing fixtures
- Smart TVs
- Television remotes
- Air-conditioner remotes
- Wi-Fi routers and internet equipment
- Bluetooth speakers
- In-room telephones
- Hair dryers
- Kettles
- Chargers
- Any other hotel property.
Guests shall also be responsible for any missing room inventory including towels, pillows, cushions, bathrobes, slippers, glassware, crockery, cutlery, trays, décor items, books, games, plants, accessories, and amenities.
Linen, Bedding & Towel Policy
Our towels, bath linen, bed linen, blankets, duvets, mattress protectors, pillow protectors, pillowcases, cushions, and decorative linen are premium hospitality-grade products intended solely for personal use.
The following shall attract compensation charges:
- Permanent stains caused by makeup, hair dye, mehendi, turmeric, blood, ink, paint, food, beverages, oils, grease, chemicals, medicines, or similar substances.
- Burn marks caused by cigarettes, cigars, vaping devices, incense, candles, irons, or hot appliances.
- Tearing, cutting, puncturing, or deliberate damage.
- Excessive soiling requiring specialist restoration.
- Using bath towels, hand towels, face towels, bath mats, bedsheets, blankets, or other linen for cleaning floors, footwear, luggage, vehicles, spills, cosmetics, pets, furniture, or any purpose other than personal hygiene.
Where a damaged item forms part of a matching hospitality set, the hotel reserves the right to recover the replacement cost of the complete matching set where individual replacement is not commercially available.
Crockery, Glassware & Room Accessories
Broken, chipped, cracked, damaged, or missing cups, mugs, plates, bowls, glasses, bottles, kettles, trays, cutlery, room accessories, decorative items, or amenities shall be charged at their full replacement cost.
Walls, Furniture & Fixtures
Guests are requested not to:
- Write, draw, paint, scratch, carve, or mark walls, ceilings, doors, furniture, mirrors, glass, or windows.
- Stick tape, glue, stickers, posters, balloons, decorations, or any adhesive materials without prior permission.
- Throw food, drinks, eggs, colours, confetti, glitter, or any other substances inside guest rooms or common areas.
- Move heavy furniture without prior approval.
- Tamper with electrical fittings, plumbing, televisions, Wi-Fi equipment, smoke detectors, CCTV equipment, safety devices, or emergency equipment.
Parents and guardians shall be fully responsible for any damage caused by children.
Electrical & Fire Safety
For the safety of all guests, the use of personal high-power electrical appliances including induction cookers, electric hot plates, immersion rods, heaters, irons, gas stoves, or similar equipment is prohibited unless supplied or specifically approved by the hotel.
Any damage resulting from the use of unauthorised electrical appliances shall be charged to the guest.
Swimming Pool Policy
To maintain hygiene and water quality for all guests:
- Eating meals or snacks while inside the swimming pool is strictly prohibited.
- Throwing food, beverages, oils, soaps, colours, chemicals, flowers, petals, confetti, or any foreign substance into the pool is prohibited.
- Entering the pool with excessive body oils, colours, or substances that contaminate the water is prohibited.
Where contamination requires complete water replacement, draining, sanitisation, chemical balancing, or extensive treatment, the responsible guest shall be charged ₹10,000 or the actual restoration cost incurred by the hotel, whichever is higher, together with any additional operational expenses.
Deliberate contamination or misuse of the swimming pool may also be reported to the appropriate authorities where required under applicable law.
Room Out of Service & Smoking Compensation
If any damage, misuse, contamination, or prohibited smoking or vaping renders a guest room temporarily unavailable for subsequent guests, the registered guest shall be liable for all resulting losses and expenses.
This includes, but is not limited to:
- Professional repairs
- Specialist restoration
- Deep-cleaning
- Sanitisation
- Deodorisation
- Air purification
- Replacement of mattresses, linen, curtains, upholstery, cushions, carpets, or furnishings
- Labour charges
- Transportation
- Procurement costs
- Loss of room revenue for every night the room remains unavailable.
Smoking, vaping, hookah, incense, cigars, cigarettes, or any similar activity inside guest rooms or any designated non-smoking area is strictly prohibited.
Smoke odour penetrates mattresses, curtains, upholstery, air-conditioning systems, soft furnishings, carpets, and walls, often requiring the room to be professionally deodorised and removed from inventory before it can be reallocated.
Accordingly, any room requiring smoke odour removal shall attract a *minimum compensation charge* comprising:
* Professional deodorisation and deep-cleaning charges; and
* Compensation for the loss of at least One (1) night’s room revenue while the room remains unavailable for sale.
The minimum compensation shall ordinarily be:
₹5,000 during the Off-Season*, or
₹10,000 during the Peak Season*,
or the *actual restoration cost incurred by the hotel, whichever is higher.*
Where the room remains out of service for more than one night due to contamination or damage, the guest shall also be liable for the additional loss of room revenue and associated restoration costs until the room is fit for occupation.
Professional Cleaning Charges
Where excessive cleaning is required beyond normal housekeeping due to smoke odour, strong food odours, bodily fluids, pet hair, stains, glitter, decorations, confetti, spills, chemicals, or any other condition requiring specialist cleaning or restoration, guests shall be charged the actual cost incurred by the hotel.
Illegal Activities & Vandalism
Any illegal activity, intentional destruction of property, vandalism, theft, tampering with hotel equipment, behaviour endangering guests or staff, or conduct likely to damage hotel property may result in:
- Immediate eviction without refund.
- Recovery of all damages and associated costs.
- Reporting to the appropriate authorities wherever required under applicable law.
Room Inspection
The hotel reserves the right to inspect guest rooms during occupancy where reasonably necessary and at check-out.
Where damage or missing inventory is discovered after departure, the hotel reserves the right to recover the applicable compensation from the security deposit or the payment method provided at the time of booking or check-in, subject to applicable law.
-Assessment of Compensation
Compensation shall be determined by the hotel based upon:
- Repair costs
- Professional cleaning costs
- Restoration costs
- Replacement cost of identical or equivalent items
- Labour charges
- Installation charges
- Transportation and logistics costs
- Procurement costs
- Loss of business
- Applicable taxes
Management’s assessment shall be made in good faith after inspection of the damage and supporting documentation where applicable.
Recovery of Charges
The hotel reserves the right to recover compensation by:
- Deducting the applicable amount from the security deposit.
- Charging the registered debit or credit card.
- Collecting payment prior to departure.
- Recovering unpaid amounts through lawful legal remedies where necessary.
Compensation Charges
All compensation amounts recovered by the hotel are intended solely to reimburse the cost of repair, replacement, restoration, professional cleaning, labour, procurement, transportation, loss of business, and associated operational expenses. Such charges are compensatory in nature and are not intended to operate as a penalty.
Guest Acceptance
By making a reservation, checking in, entering the hotel premises, or occupying a guest room, the registered guest acknowledges that they have read, understood, and agreed to abide by this Damage, Loss, Soiling & Compensation Policy and agrees to compensate the hotel for any loss or damage in accordance with the provisions set out herein.
Respect Our Property
